Validity Period Settings within Certifications - Use Cases

The following use cases illustrate how the expiration date and validity settings can impact the calculation of the certification when users have completed historical data or training before being enrolled in the certification.

In the scenarios below, the two example users are enrolled in three certifications to illustrate the various outcomes based on configured settings.

Note: The initial period start date equals the date the user enrolled in the certification. This can impact validity and expiration date calculations.

Use Case 1

  • Employees have historical or completed training that must be credited when enrolled in the certification. The date they completed the training needs to be considered for future due date and expiration dates.
  • Certification type is Relative with rolling.
  • The users completed the training in the past in 2022.
  • The users are enrolled in the certification on 2/28/2024.
  • The certification general page has the Date under Details set to the Last training item completion date.

The framework is configured per the following images, and no validity is set for the initial or renewal period. No due date or expiration has been configured for the initial period, and a 2-year due and expiration has been configured for the renewal period.

Note that the expiration is calculated from the initial period start date, which is the enrollment date = 2/28/2024.

Initial Period Start Date = 2/28/2024 (enrollment date)

Initial Period Expiration Date = 2/28/2026 (i.e. 2/28/2024 + 2 years)

Validity calculated from expiration date = 2/28/2024 (i.e., 2/28/2026 – 2 years) – so only training completed on or after 2/28/2024 will be counted (valid) for the initial period. Since Training was completed on 1/1/2022 it doesn’t count and therefore the initial period is not complete.
