Learning Assignment Tool - Enhanced Recurrence Options​

Prior to this enhancement, users who were not included in the initial learning assignment recurrence schedule for dynamically recurring Learning assignments were not assigned training assignments even if they met the assignment criteria after the recurrence date had passed; this affected overall compliance.

With this enhancement, the Learning Assignment Tool (LAT) now assigns training to users who meet the dynamically recurring learning assignments criteria despite not being in the initial learning assignment, even after the recurrence date has passed. This change is significant as it allows the LAT to review past assignments and identify users outside the recurrence schedule, proactively assigning training if the criteria are met.

To access this functionality, go to Admin > Tools > learning > learning preferences > assignment tool preferences and then turn on Enable Enhanced Recurrence Options toggle.

How Does this Enhancement Benefit My Organization?

This ensures better compliance and that every eligible learner is included in necessary training.

Use Cases

The user completed a training on Jan 1, 2021. Although the user should have been assigned training on Jan 1, 2022, the assignment was not yet in place. On March 10, 2023, a dynamic recurring assignment was made for a group, which includes the user. The retraining period is one year, with a due date criteria of 28 days after the assignment.

Before: Since the user was never a part of the initial learning assignment recurrence schedule and did not meet the one-year requirement, the LAT did not assign the training after the recurrence date passed.

After: The system will review past assignments to identify users who have not met the one-year requirement and will proactively assign training to the user if the criteria are met even after the recurrence date has passed. Any due date criteria will be adjusted based on the latest assignment date.

Considerations

  • Inactive Dynamic LATs are out of scope, but later, when the LAT becomes active, it will be considered for recurrence.
  • Historical catch-up for previously missed Learners for Dynamic recurring LATs may take some time based on the initial load on the system. (For example, if the initial user load is high, missed learners will get the training assigned over 2-3 days.)
  • This is specifically for Dynamic Recurring Learning Assignment setup where the Assign New Occurrence is ON and Maintain Progress is ON where association with LAT happens.
  • The previous assignment or completion can be any, such as Historical Data Load, Express Class Completions, Self-Assignment, Manager Assignment, or another historical assignment via a separate LAT.
  • Reporting on Recurrence is out of scope.

Implementation

This functionality is available for all organizations using the Learning module.

This functionality is controlled by a setting, which is disabled by default. To enable it, go to Assignment Tool Preferences and turn the Enable Enhanced Recurrence Options toggle on.
