Administration Modals with Search to Enhanced Search

Prior to this enhancement, several search modals in Learning Administration used Traditional Search, which relied on SQL to return results. This resulted in longer processing time, limited scalability, and reduced efficiency when handling large data sets.

This enhancement has made the Enhanced Search the default search setting in several Learning Administration search modals. Enhanced Search is a results-driven search framework that offers a faster, more scalable solution, ensuring quicker, reliable search performance. The version number has also been added to the Add Training Modal for Curricula Structure.

The following search modals use Enhanced Search by default:

  • Curricula Structure - Add Training​: Admin > Catalog > Curricula > Create A new curriculum > Structure > Add Training > Select Training Modal.
  • Programs and Cohorts - Add Training: Admin > Catalog > Programs and cohorts > create a new program > structure > Add Training > Select Training Modal.
  • Curricula - Add Prerequisites​: Admin > Catalog > Curricula > Create A new curriculum > General > Prerequisites > Add New Option > Select Training Modal.
  • Course Catalog - Curricula Edit - Add Language Equivalents​: Admin > Catalog > course catalog > edit > general > language equivalents > search for training modal.
  • Course Catalog - Curricula Edit - Add Training Equivalents: Admin > Catalog > course catalog > edit > general > training equivalents > search for training modal.
  • Course Catalog - Curricula Edit - Add Prerequisites: Admin > Catalog > Curricula > edit A curriculum > General > Prerequisites > Add New Option > Select Training Modal.

Enhanced Search is enabled by default in each of the modals. All filters will continue to be supported except for the description filter when applicable.​

How Does this Enhancement Benefit My Organization?

Administrators searching for training while performing various administrative tasks can use Enhanced Search for a more accurate and faster search experience.

Considerations

  • The current search results are sorted alphabetically; however, the Enhanced Search results display by Relevance by default.
  • Enhanced Search prioritizes learning objects localized to the language you currently have set up as the display language.
  • In most cases, a newly created or updated learning object will be updated within Enhanced Search results within 15 minutes or less, with few exceptions.
    • The learning object was included as a part of a large data ingestion, or a large bulk update was completed. In this case, the time for the update to be made available within search results may depend on the amount or the size of the change.
    • The learning object was created or updated at the exact moment of an update to the data set. In this case, we expect the learning object to be available beyond the base 15-minute time frame.

Implementation

This functionality is automatically enabled for all organizations using the Learning module.

The update may take up to 10 business days to be present after their respective release dates in the Stage and Production portals.

Permissions

The following existing permissions apply to this functionality:

Curricula Admin - Manage

Grants ability to create new and edit/update existing curricula. This permission can be constrained by OU, User's OU, Provider, and User's LO Availability. This is an administrator permission.

Adding an OU constraint and a provider constraint to this permission results in an "AND" statement.

Tip: Do not constrain this permission to your entire corporation; it can cause long page load times and timeout errors. Applying this constraint is functionally the same as leaving the permission unconstrained, but omitting this constraint does not cause the system to do the unnecessary constraint checks as in the former scenario.

Learning - Administration
Course Catalog - Update

Grants ability to manage and edit training items listed in the Course Catalog and also grants access to the Course Console, where training can also be managed and edited. This permission also grants access to the Popular Requests and Highest Rated widgets on the Learning Admin Console (in conjunction with the Learning Admin Console - View permission). This permission also allows administrators to reversion online courses via the Course Console page. This permission also allows administrators to access an Edit Training option for training items included as objectives in Development plans.

This permission can be constrained by OU, User's OU, Training Type, Training Item, Provider, ILT Provider, User's ILT Provider, User, User Self and Subordinates, and User's LO Availability. This is an administrator permission.

Learning - Administration
Social Learning Cohorts - Edit Grants ability to access the Manage Cohorts page and to edit existing cohort learning objects. This permission cannot be constrained. This is an administrator permission. Learning - Administration
