Unified Experience for the Hiring Team on Manage Candidates

Prior to this enhancement, only certain users with appropriate permissions had access to the Manage Candidates page.

With this enhancement, Hiring Managers and Reviewers now have access to the Manage Candidates page which provides a unified, modern, and simplified candidate review experience.

The following changes now apply:

  • Updates to the following pages now provides direct access to the Manage Candidates page:
    • Hiring Dashboard
    • Recruiting Dashboard
    • Review Applicants page
    • Manage Requisitions page
  • New managing flag rules
  • Changes to the Email candidate functionality
  • Changes to the Hiring Manager Shortlist

Direct access to the Manage Candidates page

The following pages are updated to allow direct access to the Manage Candidates page.

Hiring Dashboard

The Hiring Dashboard now opens to the Manage Candidates page as follows:

To access the Hiring Dashboard, go to RECRUIT > HIRING DASHBOARD.

The New Submissions link is only available for:

  • Requisition owners.
  • Users with the Manage Requisition permission if the requisition is within their constraint.

When viewing another person's dashboard, these links are not active.

Recruiting Dashboard

The Recruiting Dashboard now opens to the Manage Candidates page to view as follows:

To access the Recruiting Dashboard, go to RECRUIT > RECRUITER DASHBOARD.

Review Applicants page

The Review Applicants page now opens to the Manage Candidates page as follows:

To access the Review Applicants page, go to RECRUIT > REVIEW APPLICANTS.

Manage Requisitions page

The Manage Requisitions page now opens to the Manage Candidates page as follows:

To access the Manage Requisitions page, go to RECRUIT > MANAGE REQUISITION.

New Managing Flag Rules

Prior to this release, a user accessing Manage Candidates had the ability to add any applicant or application flags regardless of the flag role-based configuration.

With this release, new rules and logic apply for application flag visibility as follows:

  • The user viewing the candidate can only see and manage flags if Ability to view is checked for their role.
  • When managing flags in bulk, if a user assigns a flag they are not allowed to assign to all of the selected candidates, a message displays to let them know that the flag will not be added for those specific candidates.
  • The role-based visibility only applies to application flags, not to applicant flags.

Note: To manage candidate flags, the Applicants: Manage Flags permission is required.

To access the Edit Visibility page, go to ADMIN > TOOLS > RECRUIT > APPLICANT FLAGS. Select the Edit option in the Options column of the Flags table.

Email Candidate functionality

Prior to this release, a user could use the “Email candidate” functionality for all candidates they had access to in Manage Candidates.

With this release, the following now applies:

  • Only Primary owners and Owners can send emails to candidates for their requisitions.
  • Other users can send emails from Manage Candidates if they have the Applicants: Send email from Manage Candidate permission. This permission cannot be constrained. Once assigned, the user with the permission will be able to send email to all candidates they have access to from Manage Candidates.
  • If a user tries to bulk send an email to multiple candidates, for candidates that they are not authorized to send email to, the send email flyout opens to display an error message that lists the excluded candidate

Hiring Manager Shortlist changes

Prior to this release, the Hiring Manager Shortlist legacy functionality constrained the visibility of hiring managers and candidates to "In Review" status. With this release, this still applies, but hiring managers and reviewers will not be able to access Manage Candidates.

Customers who have the Hiring Manager Shortlist enabled must also have the Applicants: Send email from Manage Candidate permission to use this functionality.

Considerations

For Manage Candidates, the star rating of candidates is not yet available.

Implementation

This functionality is automatically enabled for all organizations using the Recruiting module.

Transitioning to Manage Candidates and Deprecating Manage Applicants

As we complete this important milestone of offering a unified and modernized experience to the entire hiring team on Manage Candidates, we understand that this may have an impact on your enablement and training materials.

If this deprecation is representing a major challenge in your operations, please contact your Client Success Manager or the Client Support Team. We kindly ask you to provide an explanation why you require an extension of Manage Applicants so that we ensure we are aware of all situations – and we will make sure you can continue using Manage Applicants until July 2024.​​​

Permissions

The following existing permissions apply to this functionality:

Requisition: Manage Grants ability to access and manage all requisitions regardless of ownership (constraints permitting). This permission also grants read-only access to the Applicant Review tab when creating or editing a job requisition. This permission can be constrained by OU, User's OU, and Grade. Recruiting
Requisition: Owner

Enables owner to access requisitions and applicants for requisitions for which they are an owner. This permission also grants read-only access to video interviews that are completed by applicants via HireVue. For portals with Referral Suite enabled, this permission also enables requisition owners to edit the referral source on the Applicant Profile page. This permission cannot be constrained.

Note: This is a dynamically assigned permission that is not available in Security Role Administration. If the user is removed as an owner, the permission is revoked for the associated requisition. This permission cannot be manually assigned. Also, if a user has both the permission necessary to manage requisitions and be a requisition owner, the constraints of the Requisition: Manage permission overrule those of the Requisition: Owner permission. For requisition owners that do not also have permission to manage requisitions, only certain fields are editable when editing a requisition.

Recruiting
Email Digest Administration - Manage Grants ability to create, edit, view, and delete email digests. This permission can be constrained by OU, User's OU, User Self and Subordinates, and User. The permission constraints determine which email digests the administrator can edit and delete. This is an administrator permission. Performance - Administration
