QUICK START GUIDE - Updating Courses via Course Publisher

  • Checklists are aids that help you review configuration settings and follow best practices prior to testing. Be sure to test the functionality fully in your Pilot portal before releasing to end users.
  • When an online course needs to be updated, there are two options available within Course Publisher: Replace Publication Files, and Creating a New Version (of Existing Course).
  • If making a structural change to the course (e.g. adding branching, quizzes, new slides, options, etc.) you will need to create a new version of the existing course. If making a change that does not alter the file structure of the course (e.g. changing text on an existing screen) you will be able to replace the publication files. This checklist covers both instances.

GO TO Admin > Content > Course Publisher

 

BEST PRACTICES

  1. Replace publication files

 

  • Click Course Publisher.
  • Search for the course you wish to update.
  • Click the Green and Red icon to the right of the course
  • Select Choose File and select the .zip file to upload.
  • Click Upload, then OK.
  • Wait until the course status shows Pending Update; then select the Edit icon on the right side of the screen. Note: You may have to refresh your screen.
  • Click “Click here to view changed or added files”. A pop-up displays listing the files contained in the update. Notice the 2 columns to the right titled “Current Size & Date” and “New Size & Date”. There must be sizes & dates in BOTH columns. Missing data in either column indicates a structure change exists and you must treat this as a New Version.
  • Click Update, then OK
  • The course will now be updated in the course catalog and in all user transcripts as well.

 

  1. Create new version of existing course (reversion)

 

  • Click Course Publisher, then Create New Publication.
  • Enter Title, Description, and Provider for the course, then click Next.
  • Select Choose File and select the appropriate .zip file for upload.
  • Click Upload File, then OK.
  • Wait until Status is Pending Publish, then click the Edit icon on the far right side of the screen. Note: You may have to refresh your screen.
  • To preview the course, click the Eye icon under Options.
  • Always preview courses to prevent unnecessary versions.

 

  1. Create new version of existing course (Reversion)

 

  • Select Create New Version of Existing Course.
  • Search for the course you would like to reversion, then click the Plus Sign.
  • Click Publish, then OK.
  • The course will now be versioned in the course catalog. All new registrants will receive the new version.
