Custom Reporting Field Descriptions - User Fields

Each of the fields below correspond to data about a user or users in the portal. Unless otherwise noted, the data that resides in these fields is managed on the User Record.

Absent
  • Displays user's Absent status as shown on the User Record.
  • Display "Yes" if the user is marked absent.
  • Displays "No" if the user is not absent.

Address 1 The first line of the user's address as identified in the Contact Information section of the User Record. Text
Address 2 The second line of the user's address as identified in the Contact Information section of the User Record. Text
Allow Reconciliation

Displays whether the user record should remain active or be deactivated if the user does not appear in the most recent data feed.

If… Then… Result
reconciliation is allowed the user's record will be deactivated if it no longer appears in the feed. The report results display "Yes."
reconciliation is NOT allowed the user's record will be not be deactivated if it no longer appears in the feed. The report results display "No."
Yes/No
Approver ID The User ID of the user's approver, as shown on the User Record. Text
Approver Name
  • The full name of the user's approver, as shown on the User Record.
  • Name is displayed as last name, first name.

City The city entered for a user on the user record. Text
Cost Center
  • The name of the user's assigned cost center, as shown on the User Record.
  • If the cost center OU has been renamed for the portal, this field name will reflect the updated name.

Cost Center Approver
  • The full name of the user's cost center approver, as shown on the Cost Center OU record.
  • The name displays as last name, first name.

Cost Center Approver Ref The User ID of the user's cost center approver, as shown on the Cost Center OU record. Text
Cost Center Ref The ID of the user's cost center, as shown on the Cost Center OU record. Text
Country The country selected as part of the user's address as identified in the Contact Information section of the User Record. Text
Custom Relationships
  • One or more custom relationships may have been created in the portal through Employee Relationships.
  • These custom relationships will be listed by relationship name in Analytics.
  • The report results will provide the name of the person who fills the custom relationship as identified in the Organization Structure section of the User Record.

Custom User Fields
  • One or more custom user fields may have been created in the portal through Custom Field Administration.
  • These custom user fields will be listed by custom field name in Analytics.
  • The report results will provide the value, text, or date that resides in the field as found in the User Custom Fields section of the User Record.
Varies
Date Effective This field displays the value in the Date Effective field added to the user record for clients who are using the Link effective dating functionality. Date
Display Language The language in which the user's portal displays when they are logged in, as shown on the User Record, when available. If Display Language is not populated on the User Record, the default language for the OU will be displayed. Unless otherwise changed, the default language setting is English. Text
Division
  • The name of the user's assigned division, as shown on the User Record.
  • If the division OU has been renamed for the portal, this field name will reflect the updated name.

Division Parent
  • The name of the parent division of the user's assigned division.
  • If the division OU has been renamed for the portal, this field name will reflect the updated name.

Division Ref The ID of the user's assigned division, as shown on the Division OU record. Text
Email The user's email address, as shown on the User Record. Text
First Name The user's first name, as shown on the User Record. Text
Full Name The user's full name displays as last name, first name, as shown on the User Record. Text
Grade The user's grade as identified on the User Record. Text
Grade Ref The ID of the user's assigned grade, as shown on the Grade OU record. Text

  • The user's ID, as shown on the User Record.
  • The ID is the unique identifier of the user.

  • The email address of the user's indirect manager.
  • A user's indirect manager is their manager's manager.

  • The first name of the user's indirect manager.
  • A user's indirect manager is their manager's manager.

Last Access
  • The date and time of the user's most recent, successful login prior to the analytics data refresh.
  • Date criterion is always implemented using UTC (Coordinated Universal Time).

Last Hire Date The date on which the user was most recently hired, as shown on the User Record. Date
Last Name The user's last name, as shown on the User Record. Text
Location
  • The name of the user's assigned location, as shown on the User Record.
  • If the location OU has been renamed for the portal, this field name will reflect the updated name.

Location Ref The ID of the user's assigned location, as shown on the Location OU record. Text
Mailstop The Mailstop on the user record. Text
Manager Email The email address of the user's assigned manager as identified on the User Record. Text
Manager ID The user ID of the user's assigned manager. Text
Manager Name
  • The full name of the user's assigned manager, as shown on the User Record.
  • The name displays as last name, first name.

Middle Name The user's middle name, as shown on the User Record. Text
Months of Service Displays a numeric value provided through data feed only. Numeric
Name Prefix
  • The user's name prefix, as shown on the User Record.
  • Examples of name prefixes include Mr., Mrs., Ms., Miss, Dr.

Name Suffix
  • The user's name suffix, as shown on the User Record.
  • Examples of name suffixes include II, III, Jr., Sr.

Orig. Hire Date/Hire Date The date on which the user was originally hired, as shown on the User Record, if available. If this is not available, then the Last Hire Date is displayed. Date
Password Reset By
  • If the user's password has been reset, the name of the person who most recently reset the password.
  • The name displays as first name last name.

  • If the user's password has been reset, the date and time of the most recent password reset for the user prior to the analytics data refresh.

  • The user's assigned position/job title, as shown on the User Record.
  • If the Position OU has been renamed for the portal, this field name will reflect the updated name.

Postal Code The zip code entered for a user on the User Record. Text
Reason for Change This field only displays for portals with Link and Effective Dating enabled. Displays the Reason for Change captured with User Record modifications. Text
Reason for Change Category This field only displays for portals with Link and Effective Dating enabled. Displays the category defined for the client-configured Reason for Change. Text
Reason for Change ID This field only displays for portals with Link and Effective Dating enabled. Displays the configurable ID defined for the client-configured Reason for Change. Alphanumeric
Required Approvals The number of people (e.g., managers, approvers) from which the user must get approval before being able to register for training, as indicated on the User Record. Numeric
State/Province The State or Province entered for a user on the User Record. Text
Status
  • The user's status. Status will appear as active, inactive, pending approval, or N/A.
  • Users with an inactive status are unable to log in to the portal.
  • Pending approval status applies to users who have submitted self-registration requests that are pending approval by the self-registration group approver.
  • Users pending approval cannot log in to the portal until their records are approved.
  • N/A status applies to external user's added to peer groups in Performance, and External Candidate for external successors added during Succession Planning tasks.

User ID
  • The User ID that the user enters to access the system when logging in manually with a password.
  • User ID are unique to each user.

User Fax Number The user’s fax number entered on the user record. Text
User Mobile Number The user’s cell phone number entered on the user record. Text
User Phone Number This is an existing field that is renamed from User Phone to User Phone Number. Text
