The Suggested Referrals page displays each referral for the requisition. If there are no suggested referrals to display, then "No suggested referrals" appears in the Suggested Referrals table.
To access the Suggested Referrals page, go to
. Then, in the job requisitions table, select the linked number of referrals from the Suggested Referrals column.
||Grants ability to access and manage all requisitions regardless of ownership (constraints permitting).
This permission also grants read-only access to the Applicant Review tab when creating or editing a job requisition. This permission can be constrained by OU, User's OU, and Grade.
Enables owner to access requisitions and applicants for requisitions for which they are an owner. This permission also grants read-only access to video interviews that are completed by applicants via HireVue. For portals with Referral Suite enabled, this permission also enables requisition owners to edit the referral source on the Applicant Profile page. This permission cannot be constrained.
Note: This is a dynamically assigned permission that is not available in Security Role Administration. If the user is removed as an owner, the permission is revoked for the associated requisition. This permission cannot be manually assigned. Also, if a user has both the permission necessary to manage requisitions and be a requisition owner, the constraints of the Requisition: Manage permission overrule those of the Requisition: Owner permission. For requisition owners that do not also have permission to manage requisitions, only certain fields are editable when editing a requisition.
The Job Details link at the top of the page allows for quick access to the job description and job qualifications for the requisition. Clicking the link opens the Job Details pop-up. The pop-up displays the requisition's internal and external job description, minimum qualifications, and ideal qualifications.
For portals with multiple languages enabled, this displays in the user's language if available. If the user's language is not available, then this displays in the language of the user who defined it.
Note: The fields on the pop-up are not editable from the pop-up.
You can filter referrals by entering a full or partial name in the Search field and clicking the
button. The field has no character limit.
You can also filter by referral status by selecting one or more statuses in the Status drop-down, and then clicking the
Suggested Referrals Table
The Suggested Referrals table displays all referrals for the requisition. The table is sorted alphabetically by first name. All columns are sortable, except for Resume.
Note: Applicants who have been merged do not display in the Suggested Referrals table. The name of the applicant with whom the applicant has been merged displays instead. The applicant profile for merged applicants can only be accessed from the Applicant Profile page of the target profile.
The following displays for each referral:
|Name & Contact
This column displays the following information:
- Phone number
- Email address link. Click the email address to open the Mail To pop-up. Note: The Mail To pop-up opens in the organization's email application.
You can view a referral's resume by clicking the Resume icon. Multiple resumes can be open at one time for side-by-side comparison. The resume opens in the format in which the referrer submitted it. For resumes that are typed or pasted into the Write or Paste a Resume/CV field during the referral process, clicking the Resume icon opens a pop-up that displays the resume data. For pasted resumes, the resume data appears in the original format in which the referrer pasted it. For resumes submitted by internal users using their Career Center resume, clicking the Resume icon opens the resume as a PDF.
||This column displays the referral's current job title as indicated by the referrer in the Suggest a Referral pop-up.
||This column displays the referral's current employer as indicated by the referrer in the Suggest a Referral pop-up.
This column displays the referral's current location, as indicated by the referrer in the Suggest a Referral pop-up. The Location column is sorted in the following order:
- Referrals with a defined city are sorted first, alphabetically by city.
- If there is no city defined, the next group is sorted alphabetically by state/province.
- If there is no state defined, the next group is sorted alphabetically by country.
- Referrals without any location values defined appear at the bottom of the list.
This column displays the name of the user that suggested the referral. Hovering over the name opens a pop-up that displays the following for the user:
- Photo, if available; a ghost image displays if no photo is available
- Full name
- Current position
- Primary phone number
- Email address link. Click the link to email the user.
||This column displays the relationship defined by the referrer that uploaded the referral's resume.
||This column displays the date on which the referrer uploaded the referral's resume.
This column displays the status of the suggested referral. The following are the possible statuses:
- Suggested - The recruiter has not yet taken any action on the referral.
- Invited to Apply - The recruiter has taken the action to invite the referral to apply to the requisition.
- Suggestion Declined - The recruiter has declined the suggested referral.
This column allows you to invite suggested referrals to apply to the requisition or decline suggested referrals.
Batch Invite or Decline
To batch invite or decline suggested referrals, click the Invite to Apply or Decline Suggestion button in the column header. Unclick the button to undo the batch selection.
Individual Invite or Decline
To invite individual referrals to apply, click the Invite to Apply icon in the Actions column for the referral.
To decline individual referrals, click the Decline Suggestion icon in the Actions column for the referral.
If there are multiple pages of suggested referrals and you invite/decline users on different pages, your selections remain when you navigate through the pages.
Once all selections on a page have been made, click
. This button only processes the selections on the current page. If there are multiple pages of suggested referrals and you invite/decline referrals on multiple pages, the button must be clicked on each individual page in order to process the selections on the page. A confirmation message appears at the top of the page when the selections are processed successfully.
If the suggested referral is invited to apply, then a system-defined "Invitation to Apply" email is sent and includes a link to apply to the requisition. The content of the email is not configurable. The language of the email will be in the default language of the user that suggested the referral. If a referral submits an application using the Apply Now link in the email, their referral source is Referral-Email and the referral is associated to the referrer. Further, the referral status changes to Invited to Apply on the Suggested Referrals page and in the referrer's Existing Referrals panel on the tab in Career Center.
If the suggested referral is declined, the referral status changes to Suggestion Declined on the Suggested Referrals page and in the referrer's Existing Referrals panel on the
tab in Career Center.
Note: The "Invitation to Apply" email for suggested referrals is not the same as the "Invitation to Apply" email that can be configured in Email Administration. For suggested referrals, the content of the email cannot be configured.
Applicants can be archived in the Applicant Tracking System. When an applicant is archived, their name no longer displays on the Suggested Referrals page, and their associated data is hidden.
The following occurs on the Suggested Referrals page when an applicant is archived:
- Archived applicants cannot be searched in the Name filter.
- "Archived" displays in the Name & Contact column in place of the applicant's name and contact information.
- The Date Referred column displays the date on which the applicant was referred.
- The Status column displays the current status.
- Archived applicants cannot be advanced or passed.
- All other columns are blank.
Click Note: If you have made selections on a page but have not yet clicked , then your selections are not saved upon leaving the page.
