Process Submissions

New Submissions Deprecation: Cornerstone will be deprecating the New Submissions page with the August '20 Release. As part of the May '20 Release, when New Submissions are selected from the Manage Requisition, Hiring Dashboard, Recruiting Dashboard, or Recruiting Manager Dashboard pages in Stage, Production, or Pilot environments, users will be redirected to a filtered view of the Manage Candidates page instead of the New Submissions page. Also as part of the May '20 Release, support for defects related to the New Submissions page is no longer available.

The Process Submissions page enables you to process applicants that have been marked on the New Submissions page as either Advance or Pass. You can also rate applicants that are marked as Advance.

Note: Changes to the Process Submissions page are only completed by clicking the Process button.

To access the Process submissions page, go to Recruit > Manage Requisition. On the Manage Job Requisitions page, locate the requisition for which you would like to view new submissions. From there, click the linked number of submissions in the New Submissions column. On the New Submissions page, mark at least one applicant as either Advance or Pass. Click Next.

Job Details

The Job Details link at the top of the page allows for quick access to the job description and job qualifications for the requisition. Clicking the link opens the Job Details pop-up. The pop-up displays the requisition's internal and external job description, minimum qualifications, and ideal qualifications.

  • For portals with multiple languages enabled, this displays in the user's language if available. If the user's language is not available, then this displays in the language of the user who defined it.
  • Note: The fields on the pop-up are not editable from the pop-up.

    Advance Tab

    The Advance tab displays all Advance applicants from the New Submissions page and indicates the number of Advance applicants in parentheses next to the tab name. From the Advance tab, you can view an applicant's Applicant Profile page and rate them.

    Note: If there are no applicants marked as Advance on the New Submissions page, clicking Next on the New Submissions page opens the Pass tab.

    The following columns display in the Process Submissions table:

    Feature Description
    Name The applicant's name as a link. Clicking the name opens the Applicant Profile page on which you can view additional details about an applicant.
    Application Date This field displays the date on which the application was submitted.
    Rating

    The applicant's rating and total number of ratings. If more than one user has rated the applicant, the rating displays as an average of the total number of ratings.

    If the applicant has not yet been rated by any user, all stars are gray. By clicking the appropriate star, you can rate an applicant from 1-5 or edit ratings you have given. Note: If you have already rated the applicant, a message appears when you hover over the stars, indicating that you have already given a rating. However, you can still change your rating.

    You can also view ratings by other users by clicking the Ratings link in parentheses. A Ratings pop-up opens, displaying each user who has rated the applicant. The list is sorted in chronological order from first rater to last and includes the following for each rater:

    • Photo, if available; ghost image displays if no photo is available
    • Full name
    • Current position
    • Primary phone number
    • Email address link
    • Applicant's rating

    Note: The rating functionality is only available if the "Allow Ratings" box is checked in General Preferences (by Division). Ratings are only committed once the Process button is selected.

    Status The Status column enables you to select the status or disposition in which the applicant will appear once the applicant is processed.

    The Status drop-down displays the statuses that are configured for the requisition, up to the first required status. Statuses display in the order in which they are configured for the requisition.

    Batch Applicant Status

    Click the Status drop-down at the top of the Status column to select the same status for all applicants.

    Individual Applicant Status

    Click the Status drop-down for individual applicants to select a status.

    Closed Status

    The Closed status is always available to select in the Status drop-down, even if there are required statuses. If at least one submission is changed to Closed, then the Disposition column displays.

    In the Disposition column, you must select a reason from the drop-down for changing the status to Closed. The options available to select in the drop-down are the dispositions that are configured in Requisition and Applicant Preferences. You can batch select a disposition or select a disposition for individual submissions.

    Note: If you batch select a disposition and then change the disposition for an individual submission, the selection in the batch select drop-down is automatically deselected.

    Manage Remaining Applicants

    If enabled by the administrator in Requisition Preferences, the status of all remaining applicants can be changed to Closed at the same time when all openings for a requisition are filled. In addition, all applicants can be assigned a single disposition when the applicants are closed. This can be done from the new Manage Remaining Applicants pop-up. This pop-up displays if an applicant's status is changed to Hired from the Status drop-down and there are no remaining openings for the requisition. See Manage Remaining Applicants Pop-Up.

    Date

    The date selector field allows you to manually adjust the date on which an applicant's status is changed. This field only displays if enabled by the administrator in General Preferences.

    Batch Select Date

    The date can be changed for all applicants in the pop-up by using the top row date field. Enter a date in the numeric text box or use the calendar to select a date. The date can be the current date or a past date. The date cannot be in the future and also cannot be prior to the most recent status change date.

    Select Date for Individual Applicants

    The date can be changed for individual applicants by using the date field in the applicant's row. Enter a date in the numeric text box or use the calendar to select a date. The date can be the current date or a past date. The date cannot be in the future and also cannot be prior to the most recent status change date.

    Clicking the Process button processes all Advance applicants and removes them from the New Submissions page. The applicant's status becomes the first status defined in the status workflow list for the requisition. If the Pass tab contains any unprocessed applicants, clicking Process takes the user to the Pass tab, maintaining all Advance process decisions made on the Advance tab. Otherwise, the user is returned to the New Submissions page.

    Clicking the Back button clears any selections made on the Process Submissions page and returns the user to the New Submissions page, maintaining all Advance/Pass selections made prior to accessing the Process Submissions page.

    Pass Tab

    The Pass tab displays all Pass applicants from the New Submissions page, indicating the number of Pass applicants in parentheses next to the tab name. Applicants display in alphabetical order by last name. From the Pass tab, you can view an applicant's Applicant Profile page and select the disposition reason.

    Note: If at least one applicant is marked as Advance on the New Submissions page, clicking Next on the New Submissions page opens the Advance tab, not the Pass tab. You will need to click the Pass tab to view Pass applicants.

    Disposition

    This is a required drop-down field from which to select the reason for passing on an applicant. The disposition selected controls the email sent to the Pass applicant once they are processed. Note: Reasons are configured in the Dispositions section of Requisition Preferences.

    The column header drop-down act as a Select All, enabling you to select the same disposition for all submissions.

    The Process button processes all Pass applicants and removes them from the New Submissions page. The applicant's status changes from New Submission to Closed. If the Advance tab contains any unprocessed applicants, clicking Process takes the user to the Advance tab, maintaining all Pass process decisions made on the Pass tab. Otherwise, the user is returned to the New Submissions page.

    Clicking the Back button clears any selections made on the Process Submissions page and returns the user to the New Submissions page, maintaining all Advance/Pass selections made prior to accessing the Process Submissions page.
