Manage Applicants - Change Status

An applicant's status and status change date can be manually changed to reflect their current stage in the applicant process. The status can be changed as a batch or individually.

To change an applicant's status, check the Select All box on the Manage Applicants page to change the status of all applicants at once. Or, select individual applicants by checking the box to the left of the applicant's name on the Manage Applicants page. Then, click the Change Status link in the Actions drop-down. This opens the Change Status pop-up.
Note: Batch changing the status cannot be performed if at least one of the applicants in the batch is in a required status. A warning pop-up displays asking you to deselect any applicants in a required status. See Default Status List for more information on required statuses.
Applicants display in the pop-up in alphabetical order by last name. The following information displays in the Change Status pop-up:
Change Status To
This option enables recruiters to batch select a different status for all applicants that display in the pop-up. Click the drop-down to select a status. Statuses display in the order in which they are defined for the requisition. Once the status is selected, the New Status column displays the updated status.
If the status you select comes after a required status in the workflow that has not yet been completed, then the required status must be marked complete before you can change the current status to the desired status. See the Mark Complete section below for more information about marking a status complete.
If the Closed status is selected, the Disposition option is enabled. See the Disposition section below for additional information.
Required Statuses
All applicants' statuses can be changed to any previous status in the status workflow or to Closed. However, statuses that are configured as Required cannot be skipped (except when changing the status to a previous status or to Closed).
- When batch changing the status, the status can be changed up to the first required status of the first applicant listed in the batch.
- When changing the status of an individual applicant, the status can be changed up to the first required status in the status workflow.
- If an applicant's status is changed back to a required status and you attempt to change the status to one that comes after a required status, then the Mark Complete option must be checked for the current status in order to change the status to a required status further in the status workflow.
Required statuses display in the drop-down with an asterisk to the right of the status name. If the applicant's current status is a required status, the drop-down in the Change Status to: column is grayed out. A Mark Complete link displays below the applicant's status in the Current Status column. You must click the Mark Complete link before you can change the status in the Change Status to: column. After clicking Mark Complete, the link changes to "Complete" and is no longer selectable. The drop-down in the Change Status to: column becomes selectable and you are required to select a new status in order to submit the changes to the pop-up.
Disposition
This option is only enabled if the Closed status is selected in the Change Status To option. The Disposition option requires recruiters to select a reason for changing the status to Closed. Select the disposition from the drop-down. Note: Dispositions are defined in Requisition and Applicant Preferences.
Change Status Table
The following columns display in the change status table:

New Status |
This column enables recruiters to change an individual applicant's status. By default, the change status drop-down displays the first status in the status workflow. To change an applicant's status, select the status from the drop-down. If the status you select comes after a required status in the workflow that has not yet been completed, then the required status must be marked complete before you can change the current status to the desired status. See the Mark Complete section below for more information about marking a status complete. Manage Remaining ApplicantsIf enabled by the administrator in Requisition and Applicant Preferences, the status of all remaining applicants can be changed to Closed at the same time when all openings for a requisition are filled. In addition, all applicants can be assigned a single disposition when the applicants are closed. This can be done from the new Manage Remaining Applicants pop-up. This pop-up displays if an applicant's status is changed to Hired from the Current Status column and there are no remaining openings for the requisition. See Manage Remaining Applicants Pop-Up. |
Date |
The date selector field allows you to manually adjust the date on which an applicant's status is changed. The date can be changed by entering a date in the numeric text box or using the calendar to select a date. The date can be the current date or a past date. The date cannot be in the future and also cannot be prior to the most recent status change date. This field only displays if enabled by the administrator in General Preferences. |
Disposition | This column enables recruiters to select a reason for changing the status to Closed. This option is only enabled if the Closed status is selected in the Change Status To option. To define the reason, select a disposition from the drop-down. |

Mark Complete
This option is used to mark an applicant's required status as complete before changing their current status to a status that comes later in the status workflow.

If auto-progression is configured for the status (via the requisition template), then candidates are automatically moved to the next status in the workflow upon receiving a Pass value for the pre-employment verification.
If auto-disposition is configured for the status (via the requisition template), then candidates are automatically dispositioned if they receive a Fail value for the pre-employment verification.
