Load Question Data - Considerations

The following considerations apply when loading question data via the Data Load Wizard:

Creating Questions

When creating questions via the Data Load Wizard, the following is true:

  • The following Question Bank question types can be created via the Data Load Wizard:
    • Yes/No
    • True/False
    • Multiple Choice - Single Answer
    • Multiple Choice - Multiple Answer
    • Text Only
    • Free Form
  • The Data Load Wizard does not support creating "Click on Image" question types.

Primary Keys and Reference Numbers

  • A primary key is the unique identifier for any item loaded via the Data Load Wizard.
  • Each question has a Reference Number that can be set by users in the system or via the Data Load Wizard. This is the primary key for the question and is used to reference the question when loading multiple choice responses or correct answers for text only questions or when updating a previously created question.
    • Once a Reference Number is set for a question, it cannot be modified.
    • The ability to view question Reference Number values within the system is controlled by a backend setting.
    • Each question has a system-generated ID that is the primary key for the question, but this ID cannot be modified or set via the Data Load Wizard.
  • Each question category has a Reference Number that is set by the administrator. Categories must be configured in the portal prior to a data load. This is the primary key for the category and it is used when associating categories to questions in the Data Load Wizard.
    • The ability to view question category Reference Number values within the system is controlled by a backend setting.
    • Administrators can report on all question categories and their Reference Number values using the Question Data Mapping Report. A link to this report is available in the lower-left corner of the Question File Upload page.
  • A reference number is not available for multiple choice responses and correct answers for text only questions. The primary key for each multiple choice response or text only correct answer loaded via the Data Load Wizard is the combination of the following:
    • Question Reference Number - This is the reference number of the question for which the multiple choice response or correct answer is being added.
    • Response Order - This is the display order of the multiple choice response or text only correct answer.
  • The primary key for multiple choice responses is used to determine which responses should be updated. These values cannot be updated once they are set. The Multiple Choice Response Order value must be unique for each response or correct answer within a question.

Updating Existing Test Questions

The Data Load Wizard supports updating questions that exist within the system. The following rules apply for active and inactive questions:

  • Updates to questions are allowed if the question has not been associated with a test. This includes deleting or inactivating an existing question.
  • If the question has been associated with a test, but the test does not have any attempts, the following is true:
    • Response Type cannot be modified.
    • Active status cannot be modified.
    • All other fields can be modified.
  • Updates to questions are not allowed if the question has been associated with the test and the test has at least one attempt.
  • Questions that were created from within the system can be updated via the Data Load Wizard.
  • Inactive questions can be updated via the Data Load Wizard.

Updating Existing Evaluation Questions

The Data Load Wizard supports updating questions that exist within the system. The following rules apply for active and inactive questions:

  • Question Type
  • Delete
  • Response Type
Question has been added to an evaluation, and the evaluation has been added to a LO. The evaluation has been started, but not completed.

All fields can be modified except the following:

  • Evaluation Type
  • Question Type
  • Delete
  • Response Type
Question has been added to an evaluation, and the evaluation has been added to a LO. The evaluation has been started, and has been completed. This question cannot be modified.

Updating Existing Multiple Choice Test Question Responses

When updating existing multiple choice responses via the Data Load Wizard, the following is true:

  • If the question has been associated with a test, but the test does not have any attempts, the following is true:
    • Delete can be set to True.
    • Multiple Choice Correct Response can be modified.
    • Always Display Response can be modified.
    • MC Response Choice (i.e., response text) can be modified.
    • Response Order can be modified.
    • Additional responses can be added.
  • Updates to questions are not allowed if the question has been associated with a test and the test has at least one attempt.

Updating Existing Multiple Choice Evaluation Question Responses

The Data Load Wizard supports updating multiple choice responses that exist within the system.

The primary key combination for multiple choice responses determines which response to update or delete. The following fields are the primary key combination for multiple choice responses:

  • Question Reference Number
  • Question Multiple Choice Response Order

These values cannot be updated once they are set.

The following rules apply for multiple choice responses for evaluation questions:

The following actions can be taken for the multiple choice response:

  • Response can be deleted.
  • Response checkboxes (Correct, Always Display) can be modified.
  • Response text can be modified.
  • Response order can be modified.
  • Additional responses can be added.
Question has been added to an evaluation. The evaluation has been taken by users, but the question has not been answered by users.

The following actions can be taken for the multiple choice response:

  • Response cannot be deleted.
  • Response checkboxes (Correct, Always Display) cannot be modified.
  • Response text can be modified.
  • Response order cannot be modified.
  • Additional responses can be added. However, additional responses cannot be set as Correct or Always Display.
Question has been added to an evaluation. The evaluation has been taken by users, and the question has been answered by users.

The following actions can be taken for the multiple choice response:

  • Response cannot be deleted.
  • Response checkboxes (Correct, Always Display) cannot be modified.
  • Response text can be modified.
  • Response order cannot be modified.
  • Additional responses can be added. However, additional responses cannot be set as Correct or Always Display.

The following rules apply for multiple choice responses for evaluation questions:
