Load Event Data - Step 1 - Get Started

Learning Loads Deprecation: Ability to perform learning data loads using Data Load Wizard will be deprecated with and end-of-life in the February '21 Release. Edge Import replaces this functionality. For more information on learning loads deprecation, See Learning Data Load Overview. For information about Edge Import, See Edge Import Homepage.

When loading data, you can load a file of event data. When you start the wizard, you can select which type of data you are loading. The maximum number of records that can be uploaded in a Event file is 10,000.

If you are using the Data Load Wizard to set up your portal, you should begin by loading the organizational units, and then users.

Event data can be loaded to the Properties, Availability, Pricing, Training Units, and Sessions Defaults sections of the event. Also, there is restriction on when an event can be updated, including events with In Progress sessions.

When an event is created or modified via the Data Load Wizard, the following fields are updated accordingly:

  • Created By - When an event is created via the Data Load Wizard, this is set to the user who performed the load.
  • Created By Date - When an event is created via the Data Load Wizard, this is set to the date and time at which the load was performed.
  • Modified By - When an event is modified via the Data Load Wizard, this is set to the user who performed the load.
  • Modified By Date - When an event is modified via the Data Load Wizard, this is set to the date and time at which the load was performed.

When a file of events is loaded, a unique Ref ID must be specified for each row of data in the file. The Ref ID is the unique identifier for each event and is defined by the administrator when loading the data. When updating existing event data, the Ref ID of the existing data must be referenced. Ref IDs are not displayed within the system and must be tracked by the administrator.

To start the Data Load Wizard, go to Admin > Tools > Core Functions > Data Load Wizard, and then click Load Data. The Data Load Wizard opens. Select the Learning option and click Next. When uploading learning data, you must first select the type of learning you are loading. See Load Event Data - Step 2 - Select Type.
