Employee Salary Management - Edit Salary Details

The Edit Salary Details page enables administrators to view, add, edit, and delete salaries and rates for a user.

To edit the salary details for a user, go to Admin > Tools > Compensation Management > Employee Salaries. Then, click the Edit icon in the Actions column for the appropriate user.

To add a salary for a user, go to Admin > Tools > Compensation Management > Employee Salaries. Click the Edit icon in the Options column for the appropriate user. Then, click the Add Salary/Rate button.

To view a salary for a user, go to Admin > Tools > Compensation Management > Employee Salaries. Click the user's name in the Search Results to view the user's salary details.

Salary/Rate Table

The following information is displayed for each salary or rate:

  • Salary/Rate - This displays the user's salary or rate at the corresponding effective date.
  • Currency - This displays the currency in which the user's salary or rate is displayed.
  • Wage Type - This displays whether the user's salary or rate is annual or hourly.
  • Annual Equivalency - This displays the equivalent number of years or hours associated with the selected wage type. For example, for an Hourly wage type with 40 hours per week and 52 weeks, the Annual Equivalency is 2080 Hours. For an Annual wage type, the Annual Equivalency is 1 Year. Note: The user's annual equivalency is displayed for all entries prior to March 8, 2013.
  • Effective Date - This displays the date on which the salary or rate is effective. Each salary or rate entry in the table must have a unique effective date. Entries in this table are sorted by effective date from newest to oldest.
  • Last Updated - This displays the date on which the update was made. This date uses the UTC time zone.
  • Last Updated By - This displays the name of the user who made the update. If the salary is updated by a task, then the task title is displayed along with the date on which the salary is committed by the task. Note: For all salary or rate details that are entered prior to March 8, 2013, the user name is listed as Soap Admin and the date displayed is March 8, 2013 (03/08/2013).

Annual Equivalency Table

This table displays the equivalent annual and hourly rates. For example, if the rate is Annual, then the table displays the annual rate and the hourly rate based on 2080 labor hours per year. If the rate is Hourly, then the table displays the hourly rate and the annual rate based on the number of labor hours that is specified. This table can be accessed by clicking the Expand arrow to the left of the salary or rate.

  • When editing or adding a salary or rate, the Annual Equivalency information may be editable. When the Wage Type is set to Annual, this table enables the administrator to set the number of labor hours that is equivalent to one year. When the Wage Type is set to Hourly, this table is read-only.

Salary/Rate Options

The Options column is not available to administrators who only have permission to view salary details.

The following options are available in the Options column:

  • Edit - Click this icon to edit the salary or rate entry. This makes the corresponding table entry editable. See the Edit Table Entry section below for additional information.
  • Delete - Click this icon to delete the salary or rate entry.

Add a Salary/Rate

To add a new salary or rate, click the Add Salary/Rate link in the upper-right corner of the table. A new entry appears at the top of the table. Enter the appropriate salary or rate information and click the Save icon in the Options column to save the new entry. Otherwise, click the Cancel icon to discard the new entry. This option is not available to administrators who only have permission to view salary details.

  • When editing or adding a salary or rate, the Annual Equivalency information may be editable. When the Wage Type is set to Annual, this table enables the administrator to set the number of labor hours that is equivalent to one year. When the Wage Type is set to Hourly, this table is read-only.

Edit a Salary/Rate

To edit an existing salary or rate, click the Edit icon in the Options column. The corresponding entry fields become editable. Modify the necessary fields and click the Save icon in the Options column to save the entry details. Otherwise, click the Cancel icon to discard the entry modifications. This option is not available to administrators who only have permission to view salary details.

  • When editing or adding a salary or rate, the Annual Equivalency information may be editable. When the Wage Type is set to Annual, this table enables the administrator to set the number of labor hours that is equivalent to one year. When the Wage Type is set to Hourly, this table is read-only.

When modifications are made to an entry, the Last Updated and Last Updated By columns are automatically updated.

Modification History

This section is only available if enabled via a backend setting. When enabled, this section displays the following information for each modification to the user's salary information:

  • Effective Date - This displays the date on which the modification is effective.
  • Change Date - This displays the date and time at which the modification was made.
  • Field Changed - This displays which field was modified.
  • Changed From - This displays the original value for the field.
  • Changed To - This displays the new value for the field.
  • Changed By - This displays the name of the user or task that made the modification. For example, if the modification was made via a compensation task, then the name of the task is displayed.
  • Update Type - This displays the type of update that was made.
