Learning Admin Console - Widget Details

Several dynamic reporting widgets display on the Learning Admin Console page, allowing administrators to quickly view helpful training data for learning objects (LOs) and learning assignments in the system. If an administrator does not have the permissions associated with the functionality related to a widget, or the functionality related to a widget is not enabled in the portal, the widget does not display on their console.

Note: The data in these widgets is refreshed every 15 minutes. A full browser refresh or changing the time filters on the widget will refresh the data immediately. Some widgets pull data from Real Time Data Warehouse (RTDW), which can experience delays of up to 15 minutes. For this reason, the data on the Learning Admin Console may be delayed by a maximum of 30 minutes.

Training Over Time

The Training Over Time widget allows you to see how much training has been registered for and completed in the portal (broken down by month) over the last 12 months. The time filter cannot be changed, and no constraints can be applied to this widget. The legend of the widget shows the graph colors associated with both registration data and completion data.

The Training Over Time widget reports on all the following training types:

  • Cohort
  • Curriculum
  • Event
  • External Training
  • Library
  • Material
  • Online Course
  • Quick Course
  • Test
  • Video

The Training Over Time widget EXCLUDES the following:

  • Certifications
  • Programs
  • Sessions
  • Removed Training
  • Any pre-registration statuses (i.e. Approved, Registration Pending, Waitlisted, etc.), as these do not have a Registration Date or Completion Date

Training by Type

The Training by Type widget provides administrators with a portal-wide view of all training registrations & completions over the last 12 months (broken down by Training Type). This widget does not include a time filter, and no constraints can be applied.

The Training by Type widget reports on the following training types:

  • Cohort
  • Curriculum
  • Event
  • External Training
  • Library
  • Material
  • Online Course
  • Quick Course
  • Test
  • Video

The Training by Type widget will EXCLUDE the following:

  • Certifications
  • Programs
  • Sessions
  • Removed Training
  • Any pre-registration statuses (i.e. Approved, Registration Pending, Waitlisted, etc.), as these do not have a Registration Date or Completion Date

Assigned Training

The Assigned Training widget visually represents the statuses of all training assigned to users during the selected timeframe. This widget is only visible to users with the appropriate permission, and the data visible to them is limited by their permission constraints. The features of the Assigned Training widget include:

  • Title - This field displays the name of the widget.
  • Timeframe - This field displays the amount of time captured by the report.
  • Options drop-down - This drop-down lets you select from the following time filter options: Last 30 Days, Last 60 Days (default), Last 90 Days, Last 120 Days. When a new time filter is selected, the widget refreshes to show data from the updated timeframe. The widget also saves the last time filter that the user selected (i.e. the filter does not revert to the default time filter every time).
  • Total - This field displays the total number of training items assigned within the specified timeframe.
  • Chart - This chart provides a graphical representation of the different statuses of all training items assigned to users within the specified timeframe.
  • Chart Key - This section of the widget clarifies which training status is represented by each color on the graphic chart, and also displays the specific number of training items in each status.

Considerations

The following types of training data are NOT included in the Assigned Training widget:

  • Requested Training (only Assigned training is included in the widget data)
  • Programs
  • Certifications
  • LOs contained within another LO (such as an online course included in a curriculum)
  • Previous versions of training (unless the latest version was never assigned to the user)
  • Removed Training
  • Training that was removed and then restored to the user’s transcript
  • Training in statuses that are not equivalent to Not Started, In Progress, or Completed

Assigned Past Due

The Assigned Past Due widget provides quick access to overdue training data. This widget is only visible to users with the appropriate permission, and the data visible to them is limited by their permission constraints. The features of the Assigned Past Due widget include:

  • Title - This field displays the name of the widget.
  • Timeframe - This field displays the amount of time captured by the report.
  • Options drop-down - This drop-down lets you select from the following time filter options: Last 30 Days, Last 60 Days (default), Last 90 Days, Last 120 Days. When a new time filter is selected, the widget refreshes to show data from the updated timeframe. The widget also saves the last time filter that the user selected (i.e. the filter does not revert to the default time filter every time).
  • Chart - This chart provides a graphical representation of how much assigned training is currently overdue in the system. The full ring chart represents all training assigned in the system with a due date, and the red portion of the ring chart represents the total percentage of training that is past due.
  • Not Started - This section of the widget displays the specific number of overdue training items that have not been started by the users to whom they were assigned.
  • In Progress - This section of the widget displays the specific number of overdue training items that have been started but not finished by the users to whom they were assigned.
  • Total Past due - This section of the widget displays the total number of training items that are currently past due.

Considerations

The following types of training data are NOT included in the Assigned Past Due widget:

  • Requested Training (only Assigned training is included in the widget data)
  • Training without a due date
  • Programs
  • Certifications
  • LOs contained within another LO (such as an online course included in a curriculum)
  • Previous versions of training
  • Removed Training
  • Training that was removed and then restored to the user’s transcript
  • Training in statuses that are not equivalent to Not Started or In Progress

Prior ILT Sessions

The Prior ILT Sessions widget displays data related to completed instructor-led training sessions. This widget is only visible to users with the permission to view sessions, and the data they see is limited by their permission constraints. The features of the Prior ILT Sessions widget include:

  • Title - This field displays the name of the widget.
  • Timeframe -This field displays the amount of time captured by the report.
  • Options drop-down: This drop-down allows you to choose from the following time filter options: Last 7 Days, Last 30 Days (default), Last 60 Days, Last 120 Days. When a new time filter is selected, the widget refreshes to show data from the updated timeframe. The widget also saves the last time filter that the user selected (i.e. the filter does not revert to the default time filter every time).
  • User icons chart - This chart provides a visual representation of what percentage of ILT sessions have submitted rosters. The overall percentage of sessions with a completed status displays above the chart. The chart represents this percentage in the corp color, and represents the percentage of sessions with unsubmitted rosters in grey.
  • Submitted Rosters - This section of the widget displays the total number of sessions within the specified time filter that are in a completed status. Clicking this link navigates you to the Search All Sessions page, which is filtered by the selected time filter and a status of Completed.
  • Unsubmitted Rosters - This section of the widget displays the total number of sessions within the specified time filter that are in an approved status. Clicking this link navigates you to the Search All Sessions page, which is filtered by the selected time filter and a status of Approved.
  • Total Sessions - This section of the widget displays the total number of ILT sessions within the specified time filter, with the exception of sessions in a cancelled or tentative status. Clicking this link navigates you to the Search All Sessions page, which is filtered by the selected time filter and statuses of both Completed and Approved.

Popular Requests

The Popular Requests widget displays the top four most requested training items. This widget is only visible to users with the Course Catalog permissions, and the data visible to them is limited by their permission constraints. The features of the Popular Requests widget include:

  • Title - This field displays the name of the widget.
  • Timeframe - This field displays the amount of time captured by the report.
  • Options drop-down - This drop-down allows you to choose from the following time filter options: Last 7 Days, Last 30 Days, Last 60 Days, and Last 120 Days. When a new time filter is selected, the widget refreshes to show data from the updated timeframe. The widget also saves the last time filter that the user selected (i.e. the filter does not revert to the default time filter every time).
  • Learning Object tiles - Each learning object (LO) tile displays the following information:
    • Training Type - Each tile displays an icon that represents the type of training (i.e. online course, test, etc)
    • Training Title - Each tile shows the title of the LO. The title is a clickable link which navigates you to the Course Console page for that LO.
    • Number of Requests - The total number of times an LO has been requested within the specified time filter displays beneath the LO title.

Considerations

Only the following training types are included in the Popular Requests widget:

  • Curricula
  • Events
  • Libraries
  • Materials
  • Online Courses
  • Quick Courses
  • Tests
  • Videos

The following training types are NOT included in the Popular Requests widget:

  • Certifications
  • Cohorts
  • Programs
  • Sessions

Note: The Popular Requests widget includes each version of an LO and each instance of an LO when calculating the popularity score for each training item in the system. Completions and approvals do not impact the score.

Learning Assignments

The Learning Assignment widget displays a graphical analysis of the different learning assignments created in the system via the Learning Assignment Tool. Administrators can only view learning assignment data for assignment types and organizational units (OUs) for which they have permissions . If the administrator does not have any learning assignment permissions, this widget does not display for them on the Learning Admin Console.

The features of the Learning Assignment widget include:

  • Title - This field displays the name of the widget. Clicking this field navigates you to the Manage Assignments page, filtered by the selected time filter.
  • Timeframe - This field displays the amount of time captured by the report.
  • Options drop-down: From this drop-down, you can select from four time filters, including This Week, Last Week, This Month, and Last Month. Selecting a new time filter causes the report to refresh and show data for that timeframe. The widget also saves the last time filter that the user selected (i.e. the filter does not revert to the default time filter every time).
  • Chart - This chart provides a graphical analysis of the different learning assignment types that have been created in the system.
  • Chart Legend - This section of the widget clarifies which learning assignment type is represented by each color on the graphic chart, and also displays how many of each type of learning assignment have been created. The assignment type chart colors are not customizable. The values contained in the legend are clickable and navigate you to the Manage Assignments page, where assignments are filtered by the assignment type and time filters selected.

Note: Certification proxy enrollments and volunteer proxy enrollments are not included in this widget.

Highest Rated

The Highest Rated widget displays a list of the 4 most highly rated training items. This widget is only visible to users with the Course Catalog permissions, and the data visible to them is limited by their permission constraints. The features of the Highest Rated widget include:

  • Title - This field displays the name of the widget.
  • Timeframe - This field displays the amount of time captured by the report.
  • Options drop-down - This drop-down allows you to choose from the following time filter options: Last 7 Days, Last 30 Days, Last 60 Days, and Last 120 Days. When a new time filter is selected, the widget refreshes to show data from the updated timeframe. The widget also saves the last time filter that the user selected (i.e. the filter does not revert to the default time filter every time).
  • Learning Object tiles - Each learning object (LO) tile displays the following information:
    • Training Type - Each tile displays an icon that represents the type of training (i.e. online course, test, etc). Note: Programs cannot be rated and do not appear in the Highest Rated widget.
    • Training Title - Each tile shows the title of the LO. The title is a clickable link which navigates you to the Course Console page for that LO.
    • Rating - The average star rating, along with the total number of reviews for each LO within the selected time filter, displays beneath the LO title.

Note: If course ratings are not active in the portal, this widget does not display on the Learning Admin Console.

Recently Viewed

The Recently Viewed widget displays your 10 most recently viewed items in the system.

The types of items which display in this widget include:

  • Transcript pages of specific users - Each user transcript tile includes the user’s profile photo and name. Only viewing the user’s transcript (as opposed to the user’s Bio or Snapshot page) causes the user’s transcript to appear in the Recently Viewed widget. Clicking the user's name or profile photo navigates the administrator to the user’s transcript page.
  • Course Console pages for specific learning objects (LOs) - Each LO tile includes an LO icon, the LO title, and the LO type. Clicking the LO title or icon opens the Course Console page for the LO.
  • Administrator Pages - Each admin page tile appears with an icon that represents the product type the page belongs to, the page link title, and the name of the parent admin page (i.e. Learning, Edge, Learning Preferences, etc). Clicking the page title or icon opens the corresponding admin page.

Note: If permission to view any of these links or pages is removed from the administrator’s permissions, any related links are automatically removed from the Recently Viewed widget.

Pinned Links

The Pinned Links widget allows administrators to save links to frequently used admin pages and Course Console pages for training.

You can add admin page links to your Pinned Links widget by navigating to Configuration Tools and clicking the Pin icon next to pages you frequently use. You can add Course Console pages for training by navigating to the learning object’s (LO’s) Course Console page and clicking the Pin icon . Up to nine links can be added to the Pinned Links widget. If you attempt to pin more than nine links, an error message appears.

Saved links appear in the Pinned Links widget with an image that represents the page, along with a clickable link that navigates you to the pinned system page.

Unpin Link

Administrators can remove pins from the widget by unpinning it from the Configuration Tools page or by unpinning it from the Pinned Links widget itself. To remove a pinned link from the widget, click the Pin icon next to the link. This opens the Unpin Link pop-up. Unpinning the link will also unpin the link from the Configuration Tools page.

Click the Unpin button to remove the link from Pinned Links, or click Cancel to exit the Unpin Link pop-up without removing the link.

Note: If the permission for a link is removed from an administrator’s permissions, the link is automatically removed from the Pinned Links widget if it was previously saved.
