Transcript Logic Updates - Delivery Method and Assignor ID

Prior to this enhancement:

  • When training in a Pending Approval or Approved status was versioned, its Assignor ID would change to the assigned learner’s ID, rather than persisting as the assigning manager’s ID.
  • When assigning training via the Learning Assignment Tool (LAT) with the Maintain Progress option selected, the Transcript Delivery Method would not change to “LAT” and would instead persist as the training’s original Transcript Delivery Method.​

With this enhancement:

  • By changing the behavior of the Assignor ID, learners and managers are able to self-remove or manager-remove training even after the training is versioned. Note: Following UAT 3, this behavior update will be applicable to training versioned both before and after this enhancement.
  • By changing the behavior of the Transcript Delivery Method, learners and managers will no longer be able to remove training when the training is later assigned to the learner by an administrator. Note: This behavior update is applicable to training versioned both before and after this enhancement.

Use Cases

Use Case #1: Assignor ID Behavior

  1. Training is assigned to a learner by their manager.
  2. The training enters a Pending Approval or Approved status due to configured approval workflows.​
  3. The training is versioned by an administrator before the learner is approved for the training.​
  4. The manager approves the training.​
  5. The learner receives a new version of training, and the Assignor ID persists as the manager’s ID.​

Use Case #2: Transcript Delivery Method Behavior

  1. Training is requested by a learner or assigned by a manager.​
  2. The same training is assigned via the Learning Assignment Tool (LAT) with the Maintain Progress option selected by the administrator.​
  3. The Transcript Delivery Method displays as “LAT” instead of the initial request or assignment, and the initial requesting learner or assigning manager are not able to remove this training from the transcript.

Considerations

Relevant entries for these changes will be reflected in the Transcript Modification History. Entries will appear in the following format:

  • Transcript Delivery Method changed by [account name] [username] on [date] [time] Comments: Updated delivery method by Cornerstone as result of a behavior change handling self-removal functionality
  • Assignor Modified by Cornerstone Admin (cesadmin) on [date] [time] Comments: Updated Assignor for transcript by Cornerstone as result of a behavior change handling self-removal functionality.​

This functionality is automatically enabled in all portals using the Learning module.

Permissions

The following existing permissions apply to this functionality:

Remove Training - Self Requested

Grants learners the ability to remove training that was self-requested from their active transcript and move it to the Removed tab of their transcript. This is an end user permission. This permission can be constrained by the following criteria:

  • Direct Reports
  • User's Self
  • Employee Relationship
  • User's Subordinates
  • User Self and Subordinates
  • User's Defined OUs
