Prior to this enhancement, the LAUNCH.SESSION.LINK email tag, which allows registered learners to launch a virtual classroom session via email, only functioned for learners who were registered for the session. Because instructors are typically not registered for their own sessions, they could not benefit from the ability to launch the virtual session from an email.

With this enhancement, the INSTRUCTOR.LAUNCH.SESSION.LINK email tag has been added for instructors for the following email types:

  • ILT Session Becomes Available
  • ILT Session Register
  • Session Start Date
  • Session Changed


The following considerations apply to this enhancement:

  • The INSTRUCTOR.LAUNCH.SESSION.LINK email tag only functions for the instructor of the session. This tag does NOT function for any of the other recipient types available for the supported email types.
  • If your organization has SSO enabled, instructors can use the INSTRUCTOR.LAUNCH.SESSION.LINK tag to launch the session without needing to sign into the system first. If SSO is not enabled, the instructor will need to log into the system before they can launch the session.
  • The INSTRUCTOR.LAUNCH.SESSION.LINK tag link works for all vILT integrations, including integrations that were built with the vILT Connector and integrations previously built using a different technology.
  • The INSTRUCTOR.LAUNCH.SESSION.LINK tag can be used with both old and new emails. Once the INSTRUCTOR.LAUNCH.SESSION.LINK tag has been added to either a new or existing supported email type, the tag will be included in every instance of that email triggered after the tag has been added.


This functionality is automatically available in all portals using the Learning module.


The following existing permissions apply to this functionality:

Emails by Learning Object - Manage Grants access to create, edit and delete custom email templates/triggers at the learning object level. When viewing Course Console, this permission also grants ability to view and manage email triggers at the LO level. This permission works in conjunction with the Course Catalog - Update and Course Catalog - View permissions. This permission can be constrained by OU, User's OU, User's Self and Subordinates, and User. This is an administrator permission. Learning - Administration
Global Email Administration - Manage Grants ability to manage email trigger templates across all active modules in the portal.
