Removing Appended Training from Curricula

Prior to this enhancement, when a material or online course was versioned with append and it was contained within a curriculum, when that training was removed from the curriculum structure, it did not become a standalone training item if it was in a Registered or In Progress status. Instead, the training would disappear from user transcripts, though the training would be visible in reporting and users would still receive email notifications for the training.

With this enhancement, materials and online courses that are versioned with append and also contained within a curriculum remain as standalone training items on users' transcripts when the training is removed from the curriculum structure, provided the training is in a Registered, In Progress, or Completed status. This allows users to complete the training even after it is removed from the curriculum.

After training versioned with append is removed from the curriculum structure, its placement on the user's transcript depends on the training item's transcript status:

Use Case

The following use case represents the workflow of what happens when training versioned with append is removed from the curriculum following implementation of this enhancement:

  1. Material A is created.
  2. Curriculum B is created.
  3. Material A is added to Curriculum B.
  4. Curriculum B is assigned to a user’s transcript.
  5. Material A is registered on the user's transcript with the action Launch.
  6. A new version of Material A is created and becomes Material AV2 in append mode with no start date (the versioning date will be the effective date, but a start date is not set).
  7. Curriculum BV2 is created with Material A and Material AV2.
  8. The administrator removes Material A from the curriculum structure.
  9. Curriculum BV2 becomes Curriculum BV3 containing only Material AV2.
  10. Since Material A is registered, it becomes standalone on the user's transcript.

Prior to this enhancement, Material A does not become standalone and is not visible on any part of the user's transcript.

Considerations

This behavior does NOT apply to materials and online courses versioned with replace versioning.

Implementation

This functionality is automatically enabled in all portals using the Learning module.

Permissions

The following existing permissions apply to this functionality:

Curricula Admin - Manage

Grants ability to create new and edit/update existing curricula. This permission can be constrained by OU, User's OU, Provider, and User's LO Availability. This is an administrator permission.

Adding an OU constraint and a provider constraint to this permission results in an "AND" statement.

Tip: Do not constrain this permission to your entire corporation; it can cause long page load times and timeout errors. Applying this constraint is functionally the same as leaving the permission unconstrained, but omitting this constraint does not cause the system to do the unnecessary constraint checks as in the former scenario.

Learning - Administration
Curricula Version - Manage The constraints on this permission determine for which users the administrator can assign a new version of a curriculum when reversioning the curriculum. This permission works in conjunction with the Curricula Admin - Manage permission. Curriculum Owner Grants ability for those designated as owner of one or more existing curricula to make edits/updates to those curricula. This is an administrator permission. Learning - Administration
Assignment Tool - Standard and Dynamic

Grants ability to create Standard (one-time) and Dynamic (continuous) Learning Assignments to directly assign training to users. This permission can be constrained by OU, Provider, Training Item, Training Type, User, User Self and Subordinates, and User's OU. If this permission is constrained by Location, Provider, Training Type, or Training Item, then they can only assign training within the constraints. If this permission is constrained by OU, User, User Self and Subordinates, or User's OU, then they can only assign to and view assignments created by users within the constraints. This is an administrator permission.
